How to Submit Your Expense Claim
Step 1: Go to “My Expenses”
- Tap My Expenses in your app.
- Select Expense Request.
Step 2: Select the Job
- From the dropdown list, choose the job you’ve just completed.
- If you don’t see the job listed, it means:
- There are no expenses available for that shift, or
- You’ve already submitted a claim for it.
- To double-check, go to Expense History to view any submitted expenses.
Step 3: View Eligible Shifts and Expense Summary
After selecting your job, you’ll see:
- The shift(s) eligible for expenses,
- Your expense summary, showing the type of expenses allowed and any limits (e.g. “£15 mileage limit”),
- Whether a receipt is required.
Step 4: Create Your Expense Request
Tap Create Expense Request to open the submission form.
Here you’ll see key job details like:
- Job title and location
- Shift date and time
- Important notes about multiple expenses
📝 Note:
If you have more than one expense for a single shift (e.g. mileage + parking), you must submit them together.
You can’t send multiple claims separately for the same shift.
Step 5: Add Your Expense Details
- Select the expense type — e.g. Mileage or Other Expense.
- For mileage claims:
- Choose your car type if required (as rates may differ by market).
- Enter the distance travelled (in miles).
- The system will automatically calculate your claim amount.
- If your claim exceeds the limit, you’ll see a warning message.
- You can still proceed, but if the expense isn’t pre-approved by the Elevate team, it may be declined.
- If you have pre-approval, include your reason for exceeding the limit in the notes section.
Step 6: Upload Your Receipt
- Upload your receipt (if this field is mandatory).
- You can:
- Take a photo of the receipt directly, or
- Upload one from your gallery.
- Tap View to check that the correct receipt has been attached.
Step 7: Submit Your Claim
- Once all details are complete, tap Submit Claim.
- You’ll see a confirmation that your claim has been sent successfully.
You can then view your submitted claim under My Expenses — it will show as Pending until reviewed.
From here, you can also:
- View your uploaded receipt,
- Download it for your records,
- Check claim details anytime.
Example: Submitting Multiple Expenses
If a shift has more than one expense type (e.g. mileage and parking):
- Select all relevant expenses before submitting.
- Enter your amounts and upload receipts for each.
- Follow the same submission process as above.
That’s It!
Your expense claim has now been submitted for review.
✅ Remember: Claims that exceed limits or lack receipts may be declined without pre-approval.
Thank you for keeping your expenses up to date — it helps us process reimbursements quickly and accurately!
